Refund, Cancellation & Rescheduling Policy
Clear Rules for Consultations, Projects, Software and Digital Products
This policy explains when a booking, order or project may be rescheduled, cancelled, credited or refunded, and how Ayurvite handles defective, duplicate or undelivered purchases.

1. Scope and Priority
The specific booking, order or proposal may contain additional terms
This policy applies to Ayurvite strategy sessions, professional services, advisory retainers, websites, applications, ready-to-use software, configured software, custom software, digital products, content, documentation and related support.
Where a booking page, product page, accepted proposal, statement of work, licence or subscription plan contains a more specific cancellation or refund term, that specific written term applies to the relevant transaction.
A refund request does not automatically pause payment obligations, access restrictions, project deadlines or other contractual rights unless Ayurvite confirms otherwise in writing.

Reasonable Review
Each request is assessed against the transaction, work completed, access supplied and applicable law.

Actual Costs
Payment-gateway fees, travel, licences and other non-recoverable costs may be deducted where legally permitted.

Original Payment Route
Approved monetary refunds are normally returned through the original payment method.

No Double Recovery
A client cannot retain both the full benefit of a service or product and a full refund for the same transaction.
2. Online Strategy Sessions
Reschedule early to preserve the value of your booking
The time is reserved for the selected consultation and may include advance review. All time limits below are calculated from the scheduled start time in the booking confirmation.

Reschedule 24+ Hours Before
One reschedule is permitted without a rescheduling fee, subject to available slots. The new appointment should normally be taken within 60 days.

Cancel 48+ Hours Before
Choose either a full service credit valid for 90 days or a monetary refund less actual non-recoverable payment-processing charges, where legally permitted.

Cancel 24–48 Hours Before
No cash refund is normally provided. Ayurvite may issue a service credit equal to 50% of the consultation fee, valid for 60 days.

Less Than 24 Hours
No refund, credit or free reschedule is normally available because the professional time and preparation have already been reserved.

Late Arrival or No-Show
The session ends at the original scheduled time. A missed appointment is treated as delivered and is not refundable.

Ayurvite Reschedules or Cancels
You may accept a new slot or request a full refund of the affected consultation fee.

Provide the booking reference, scheduled date and time, reason and preferred alternative availability.
Qualification Call
A complimentary qualification call carries no monetary refund. Repeated cancellation, non-attendance or use of the call for substantive advisory may result in future qualification-call requests being declined.

Extended or On-Site Engagements
Workshop and on-site cancellation terms may differ because preparation, travel and stakeholder time are reserved. The accepted proposal or confirmation controls.
- Travel, accommodation and venue commitments are non-refundable once booked unless recovered
- Cancellation within seven days may attract a planning or capacity charge
- A postponed on-site engagement may require revised travel and professional fees
- Force-majeure events are handled under the Terms & Conditions
3. Consultancy, Research, Content and Development Projects
Project payments reflect work, reserved capacity and committed resources
Project advances and milestones are not deposits for an undefined future service. They secure professional capacity and fund discovery, planning, development, documentation, review or other work stated in the accepted scope.
Before work begins: refund less actual committed costs
After work begins: completed work remains payable
Approved milestones are normally non-refundable
Unearned future balance may be refundable
Client delay may change schedule and resource availability
Change requests are priced separately
Third-party costs follow provider refund rules
Handover occurs after outstanding payment
Project cancellation account
When a project is cancelled, Ayurvite may prepare a final account covering completed work, work in progress, reserved resources, approved milestones, licences, subcontractors, travel and other committed costs. Any verified unearned balance remaining after that account may be refunded or credited.
If Ayurvite is unable to continue for reasons not caused by the client, the client may receive completed paid work and a refund of the unearned balance for the discontinued scope.
4. Monthly Advisory, Maintenance and Retainers
Monthly capacity is reserved in advance
A monthly plan may reserve consulting, support or development capacity whether or not the client uses every available hour. Unless the plan expressly states otherwise, unused hours do not roll over and are not refundable.
A client may stop a future renewal by giving the notice stated in the plan or, where none is stated, at least seven days before the next billing date. The current paid month is not ordinarily refundable after it begins.

Exceptions
- A duplicate charge may be refunded after verification
- A future unused billing cycle may be cancelled before renewal
- A service outage may be handled through restoration, credit or refund according to the plan
- A specific annual or minimum-term agreement may contain different early-termination charges
5. Ready-to-Use Software & Digital Products
Access, activation and download affect refund eligibility
Digital products can be copied or used immediately after delivery. Refund eligibility therefore changes once files, credentials, licence keys, downloads, protected content or hosted access are supplied.

Before Access or Activation
A standard order may be cancelled before delivery, download, licence activation or account creation, less any actual non-recoverable processing cost.

After Access or Download
The purchase is generally non-refundable merely because of change of mind, lack of use, internal approval failure or preference for another product.

Wrong or Duplicate Purchase
A duplicate payment or incorrectly supplied product may be refunded, replaced or credited after verification.

Material Defect
Report a reproducible defect promptly. Ayurvite may first repair, replace, restore access, provide an update or offer an equivalent solution.

Not as Described
Where the supplied product materially differs from the published or agreed description and cannot be corrected within a reasonable period, an appropriate refund or remedy may be offered.

Compatibility Responsibility
The client must review published technical and usage requirements. Undisclosed local incompatibility does not automatically create refund eligibility.

Provide the product name, order reference, access date, device or environment, steps to reproduce the issue and screenshots where relevant.
6. Configured & Custom Software
Custom work follows milestone acceptance rather than retail return rules

Discovery & Blueprint
Discovery fees are payable for analysis and planning already performed, even when the client decides not to proceed to development.

Configuration
Institution setup, roles, forms, reports, data preparation and training become non-refundable as those activities are completed.

Development Milestones
An approved or delivered milestone is payable. Cancellation normally stops future unstarted milestones rather than reversing completed work.

Testing & Acceptance
The client must report material non-conformity within the stated review period. Silence or productive use may constitute acceptance where the agreement so provides.

Data Migration
Migration and cleaning effort is payable even when source data is incomplete or requires additional correction.

Termination & Handover
Paid completed work may be handed over in its then-current state, subject to licence, security and outstanding-payment conditions.
Content, Reports and Documentation
- Research, drafting, design and revision effort already completed is payable
- Approved or delivered documents are not refundable merely because they are later unused
- Additional revisions beyond the included cycles are separately chargeable
- Client-supplied inaccuracies and changed instructions may require rework
- Publication, ranking, approval or third-party acceptance is not guaranteed
Research and Proposal Support
- No refund is due solely because a grant, journal, ethics body or regulator rejects an application
- Fees cover the agreed professional support rather than the external decision
- Fabricated, unethical or unauthorised requests may be refused or terminated
- Unused future scope may be adjusted through a written change or cancellation account
- Official fees and specialist costs remain subject to the relevant authority or provider
7. Amounts Normally Not Refundable
Some costs cannot be recovered once committed or supplied

Payment Processing
Actual gateway, bank, foreign-exchange or chargeback costs that are not returned to Ayurvite, where deduction is legally permitted.

Third-Party Licences
Domains, hosting, APIs, software licences, plugins, app-store charges and subscriptions purchased for the client.

Travel & Logistics
Booked travel, accommodation, venue, courier, printing and on-site arrangements that cannot be cancelled without loss.

Completed Work
Consultation time, research, analysis, drafting, configuration, design, development, review and support already performed.

Activated Access
Used licence keys, downloads, protected content, credentials and hosted access already supplied, subject to defect and consumer-right remedies.

Client-Caused Rework
Work resulting from changed instructions, inaccurate data, delayed approval or unauthorised client materials.
8. How to Request a Refund or Cancellation
Submit enough information for secure verification
Use the secure request form and retain the reference number. Ayurvite may ask for additional information to verify the payer, order, booking, issue or authority to act.

Submit a Refund or Cancellation Request
Provide the reference, service or product, payment details, reason and requested resolution. Keep the enquiry reference generated after submission.
Review and payment timeline
Ayurvite aims to acknowledge a valid consumer complaint within 48 hours and to resolve it within one month, subject to receiving all required information. Straightforward requests are usually decided sooner.
After approval, Ayurvite will normally initiate the refund within 7–10 business days. The bank or payment provider may require additional time to credit the amount. A tax credit note or revised invoice may be issued where required.
9. Failed, Duplicate or Disputed Payments
Check payment status before making a second payment
A payment may appear debited while the booking or order remains pending. Please wait for the payment-provider status and contact Ayurvite with the transaction reference before paying again.
Verified duplicate collections will be reversed or refunded. Failed-payment reversals initiated automatically by the bank or gateway are controlled by that provider’s processing timeline.
Before initiating a chargeback, contact Ayurvite so that the issue can be investigated. A fraudulent or abusive chargeback may result in suspension of access, cancellation of licences and recovery of reasonable costs.

10. Defective Services, Consumer Rights & Grievances
Mandatory legal remedies are not excluded
Nothing in this policy limits rights or remedies that cannot lawfully be excluded, including appropriate remedies for defective goods, deficient services, misdescription, unfair trade practices or failure to provide an accepted purchase.
Ayurvite’s Resolution Approach
- Investigate the stated defect or service deficiency
- Seek additional evidence where reasonably required
- Offer correction, re-performance, replacement, restoration or credit where suitable
- Provide a refund when required by law or when the problem cannot reasonably be cured
- Record the decision and applicable processing timeline
Escalation
First submit the complaint through the secure form or email desk@ayurvitewellness.com. If a consumer grievance remains unresolved, the consumer may use an applicable statutory or government grievance mechanism.
Business and institutional clients remain subject to the dispute process in the accepted agreement, without prejudice to rights that cannot lawfully be waived.

Common refund and cancellation questions
Can I reschedule a paid consultation?
Yes. One reschedule is normally allowed without charge when requested at least 24 hours before the appointment and taken within the stated validity period, subject to available slots.
Is a digital product refundable after download?
Generally not for change of mind after download, access or activation. Duplicate, incorrectly supplied, materially defective or materially misdescribed products remain eligible for an appropriate remedy after verification.
What happens if I cancel a custom project?
Ayurvite prepares a final account for completed work, work in progress and committed costs. Any verified unearned balance for unstarted future scope may be refunded or credited.
Are payment-gateway charges refunded?
Only to the extent they are returned or recoverable. Actual non-recoverable processing costs may be deducted where legally permitted.
How long does an approved refund take?
Ayurvite normally initiates an approved refund within 7–10 business days. The bank or payment provider may require additional time to post the credit.
Does this policy remove my statutory consumer rights?
No. Rights and remedies that cannot lawfully be excluded remain available.
